Conducive Space for Peace processes personal data in accordance with the EU General Data Protection Regulation and the Danish Data Protection Act. We are the data controller for the personal data collected through our website and in connection with membership.

What information we collect

We only collect personal data that is relevant and necessary for our activities, with the purpose of responding to inquiries and improving functionality.

When you contact us, we collect your name, email address and the information you include in your message. This is used to respond to your inquiry. The legal basis is our legitimate interest in communicating with you. We keep general correspondence for up to one year after the last contact unless further dialogue continues.

When you become a member, we collect your name, contact details and information necessary to manage your membership and membership fee. This is used to administer your membership and communicate with you as a member. The legal basis is the membership agreement.

Membership information is stored during your membership and for up to three years afterwards. Accounting records related to membership fees are stored for five years in accordance with Danish bookkeeping law.

If you sign up for our newsletter, we collect your name and email address. We use Mailchimp to send newsletters. The legal basis is your consent. You can withdraw your consent at any time by using the unsubscribe link in the email. We store your information until you withdraw your consent.

We use Google Analytics to understand how our website is used and to improve our content. Google Analytics collects information such as IP address, browser type and pages visited. This is done on the basis of your consent through our cookie solution. Data is not transferred outside the EU.

We do not process special categories of personal data such as health information, political opinions, religious beliefs or ethnicity.

Sharing of information

We only share personal data when necessary to operate our organisation. This includes our website hosting provider, Mailchimp for newsletters, and relevant accounting or payment service providers. All such providers act under data processing agreements.

We do not transfer personal data outside the EU or EEA.

How long we keep information

We keep personal data only as long as necessary for the purpose for which it was collected and in line with Danish law.

Accounting material is stored for five years.

Recruitment data for unsuccessful candidates is deleted within six months unless consent is given to retain it for up to twelve months.

General correspondence is reviewed annually and deleted after one year of inactivity.

Your rights

Under data protection law, you have the right to access your personal data, request correction or deletion, restrict or object to processing and withdraw consent where processing is based on consent.

You also have the right to receive your personal data in a structured, commonly used and machine-readable format where applicable.
